Unlike plain corporate transport: the brief must know hall number, gate, build time and whether panels travel with you. Unlike concert event transport: a fair runs several days, often with the same chauffeur and hotel, and freight is part of the daily rhythm, not a one-off encore.
What a fair booking includes
Confirmation locks vehicle class, hotel and fair addresses, arrival window, agreed waiting and amount. Chauffeur, fuel, climate and the agreed slot sit in price when calculated upfront. Parking at the complex enters only when we could reserve or know the spot in advance.
Roll-up banners, promo crates and samples travel with size notes so we pick V-Class or Sprinter with the right boot. The chauffeur does not build the stand. He knows the service ramp, short-stop points and where waiting is banned during entry peaks.
A multi-day plan can live in one brief: morning setup, afternoon panel, evening return, same again next day. Same chauffeur on request when continuity lowers friction. Same-day panel shifts go to the agreed contact, not a new app thread.
Mercedes E-Class for a solo exhibitor or VIP guest heading to an opening without heavy freight. Skoda Superb as a calm business option with a large boot for smaller delegations and one roll-up. Mercedes V-Class when a team of five to seven travels with panels and crates. Mercedes Sprinter when the full stand crew and freight volume exceed V-Class.
The cabin stays tidy and discreet. Wi-Fi and water sit in the brief when required. For media crews with cameras we pick a larger boot and agree loading time before congestion locks the approach. Class does not change mid-day without a new confirmation.

Team from a New Belgrade or centre hotel: V-Class or Sprinter, panel loading at lobby or ramp, drop at the hall service entrance. If build runs late, hourly cover keeps the vehicle in the agreed window instead of forcing the exhibitor to hunt a new ride for tools left at the hotel.
Panel and networking with guests from several hotels
A firm invites guests from three hotels to the same panel. Dispatch sequences pickups so nobody waits too long. Drop at the agreed gate. After the panel the same vehicles can return guests or continue to evening networking off-site. Name lists per pickup sit in the brief, not kerbside improvisation.
Multi-day hotel ↔ hall shuttle
An exhibitor stays four days. Morning and evening slots repeat. One brief, one class, one contact. If hall close-out moves, message before the chauffeur leaves for another job. This is a fair shuttle, not a sightseeing loop between panels.

Fair corridors and hall congestion
Belgrade Fair and Belexpo sit on corridors that clog Gazela, New Belgrade and Sava approaches fast. A match or concert the same day can close a street. Chauffeurs watch live conditions and pick an alternative drop when the main gate stalls.
Hotels in the centre, New Belgrade and along the Sava have different lobby protocols. State the exact ramp or entrance. That saves minutes a panel will not wait. Rain and evening networking often stretch exit from the hall: a buffer in the brief prevents the "is the chauffeur still waiting" panic.
For stands with samples we agree flat loading. Panels need space without bending. If you share a stand with a partner, we can align two pickups from the same hotel in a short window.
